Dispatch paperwork management
Dispatch paperwork management, with every document on its load
A POD lost in someone’s phone or a rate confirmation buried in email holds up the invoice. Truck Vera keeps the rate confirmation, BOL and POD on each load, shows what’s missing, and keeps carrier and driver documents with their expiry dates, so the paperwork is ready when it’s time to bill.
- RC, BOL and POD on every load
- Uploaded from the road
- Expiry alerts

The rate confirmation, BOL and POD on every load
Open a load and Paperwork shows the RC, BOL and POD as on file or missing. Tap a missing one to upload it. Several photos or PDFs go at once, so a BOL can be a photo per page, and every document shows as a preview you can rename, open or download.
- Missing paperwork flagged on every load
- Loaded and delivered alerts the moment the BOL or POD is uploaded
- Comments, check calls and notes kept on the same load
Drivers upload the BOL and POD from the road
In the Truck Vera app the driver opens the load and, under Paperwork, taps BOL or POD. They photograph each page (Take another for the next), pick photos from the gallery, or choose a PDF, then upload them all at once.
The BOL marks the load picked up and the POD marks it delivered, and dispatch is told, with no texts or emails to chase.

Carrier packets in each trucking company’s folder
Keep each trucking company’s authority, insurance, W-9, agreements and NOA or voided check in its folder, next to its MC and DOT numbers, contacts and dispatch fee. An owner with a read-only login sees their own documents too.
Driver files, with expiry alerts
A driver’s folder holds their CDL, medical card and photos. Expiry dates turn amber 30 days before and red once expired, with alerts on the dashboard and in Safety, so nothing runs out unnoticed. Inspection reports, violations, tickets, claims and accidents go on the driver too, each with its PDFs and photos.
Rate confirmations read for you
On the Bean AI plan, attach the rate confirmation to a new load and Bean reads it: the rate, stops, dates, broker and more fill in the load for your dispatcher to check and save. The RC stays on the load with the rest of its paperwork.

Paperwork that turns into invoices
Once the POD is in, the load is ready to bill. Make the load invoice to the broker in one click and download the PDF to send with the paperwork.

Questions
What is dispatch paperwork management?
It’s how a dispatch or trucking company collects, files and finds the documents each load needs (the rate confirmation, bill of lading and proof of delivery) along with carrier packets and driver files. Truck Vera keeps them on the load and in each carrier’s and driver’s folder, instead of in email and phone galleries.
Which documents can we keep?
Rate confirmations, BOLs, PODs and other load documents; a carrier’s authority, insurance, W-9, agreements and NOA or voided check; a driver’s CDL, medical card and photos; and inspection reports, violations, tickets, claims and accidents. Photos and PDFs both work.
Can a BOL have several pages?
Yes. The driver photographs each page in turn and uploads them all at once, or picks a PDF.
Who can see the documents?
Every company’s data is kept separate. Staff see only what their role allows, and documents open through expiring links.
How much does it cost?
One price for your whole company, with no per-user or per-truck fees: $229 a month, or $329 a month with Bean AI reading your rate confirmations. Paid yearly, it's $199 or $299 a month.
